- Boundaries: what the project does not include (ceilings are not our concern, one floor not two).
- Standards: specifications, regulations, and acceptance references.
A declared, explicit scope prevents later intellectual resistance: an expansion decision without a document opens the door to every verbal wish that grows incrementally. “Scope Creep” is the fiercest killer of schedule and budget in reality.
3. Managed change: the approved change order
Change is legitimate in projects — but it is managed as a process, not as passing requests:
- The change request is written and its impact clearly estimated (cost, time, quality).
- It is formally approved in writing by the decision maker before any execution.
- The baseline (the schedule and budget) is updated with documented approval.
- The change’s impact is communicated to everyone it affects.
Whoever executed a verbal request and was then surprised by the cost created their own problem; whoever estimated and approved wrote their own protection. A golden rule: no “yes” without a number — a change without an estimate is a deferral of the crisis, not a solution to it.
4. The project manager’s limits and realistic expectations
A successful project balances a well-known trade-off: scope, schedule, cost, quality, risks, and resources. Your commitment cannot begin better than the reality you actually met:
- If the client asks for a larger scope with no time and no budget, then the cost certainly rises or the date slips.
- If the schedule pressure mounts, you declare a scope reduction or an increase.
- Transparent communication about these trade-offs is part of project management experience — do not promise what cannot be delivered.
